By following the eight considerations when selecting a partner below, however, you’ll greatly increase your chances of finding a high-quality technology partner that can deliver.

1. What needs to be done?

First, make sure you understand your project. Many companies and executives have a vague idea of what they are looking for. However, you want more certainty when writing an RFP and reviewing potential partners. Breakdown as many details, features, and functionalities as possible. Consider the user journey, integrations, and future needs as well. Make sure you include all of the above in your RFP. Loop in your on-staff technology and software experts to source their feedback.

2. Put forward a clear and comprehensive RFP

For many companies, the journey to finding an excellent technology partner starts with the Request-for-Proposal (RFP). This document outlines what you need and who you are as a company. You want to provide enough details to give companies a clear sense of the project and scope without bogging potential partners down with unnecessary or redundant information.

3. Price is just one factor

Price is an important consideration but one of many. Make sure you examine other aspects and ensure that no matter the price you pay, you’re getting a good value. Also, make sure you know the “true cost.” Some vendors quote a given price but end up going well over budget, and you may have to pick up the tab. Others tack on costs, like implementation and support. Understand the total costs of the project before signing anything.

4. Deadlines and timelines

Ask the business for a reasonable estimate of the timeline. Don’t simply take their word for it, however, and also ask about projects in similar scope and how long they took to complete it. Further, inquire about projects that went over initial timelines and what happened. What caused the delays and how did they resolve it? Remember, however, quality is often more important than speed. A hasty project may result in poor software that you have to grapple with for years.

5. Ensure that potential vendors are transparent

You want to work with vendors who are honest about their resources, time management, and capacities. Additionally, ask for a clear roadmap with deliverables and goals that the partner feels is reasonable. On your end, the roadmap should be clear and easy to decipher.

6. Review customer testimonies

Great partners can usually offer a lot of testimonies. Past clients, employers, and partners can vouch for their skill and success. Ask for a portfolio and a list of past clients you can contact. When you contact clients, dig deep and inquire about short-comings, hiccups, and more.

7. Check for a warranty or guarantee

Great companies often stand behind their products as a point of pride. It’s a good sign if a company offers extensive warranties, guarantees, or other assurances. On the other hand, if a company offers no guarantee, be wary.

8. Look for social good

Are You Ghosting Us?

We’ve all had it happen—after weeks of back and forth, we message a supplier an important question that will impact, well, everything else. And we wait. And wait. Days pass. Weeks. Centuries… Okay, maybe that’s a bit dramatic, but when we are relying on this one piece of feedback in particular, it can certainly feel this way. If you don’t have the answer to our question, let us know. It’s okay. Just please, please don’t put us through the special hell of ignoring us completely while we search for a solution or an answer.

How Big Are Your Shoes?

Did you promise us the moon? Well, buddy, you’ve got big shoes to fill. Unfortunately, lots of other departments (cough, cough suppliers, marketers, we’re looking at you) have their toes in their arch supports. More importantly, we like sticking to plans. So, marketers and sales folks, believe us when we say that we are looking for this one particular item, especially if we say that’s all we’re looking for. Extra especially if we’ve already said it once. Give it up on the upsell and the cross-promotion, and we’ll thank you for it. Respect our already limited time and we’ll pay it back in spades with loyalty and not-too-many emails. At least the former, as long as you keep your prices reasonable and your delivery on time.

Dripping in Gold

Speaking of upsells, do we look like we’re made of money? We can’t break the bank on every new request, every outlandish marketing idea, every new and ingenius product idea. We have to save for a rainy day and prioritize our cash flow toward the best and most efficient option. You can stop calling us names—we’re not literally always looking for the cheapest option, even if it seems that way sometimes. We’re not trying to make your life harder. We’re trying to make our dollars take us as far as we can and sometimes that means saying things like, “No, I get that it’s a more ergonomic option, but we cannot approve another (sigh) standing desk at this time.”

Having been an SAP Ariba customer, employee, and now SAP Ariba BPO partner, I have seen many of the pain points of the implementation of this module.

Granted, this list is only three of the major roadblocks we at Premikati have come across, and there are many more challenges that are company specific that we will address via this medium in the near future.

Alas, for now – let’s hit the top 3:

1. Have a solid change management strategy and plan.  

When initiating a top down project, without buy-in, you are at risk for people not adopting the new processes, technology, and communications.

This lack of buy-in decreases your early adoption level and end user acceptance of the new technology and processes – therefore diminishing your success and what should be – a rapid ROI.

2. Develop a strategic supplier on boarding wave plan.

Start with matched SAP Ariba Network suppliers. They are already transacting over the network making for an easy connection.

Next, remember the 80/20 rule. Let’s get the suppliers you do the highest spend with on immediately. This will allow for quick visibility and spend control for the majority of your purchase orders.

Your next target should be strategic commodities.

As far as tail spend, remember that SAP Ariba Spot Buy will revolutionize the way you have dealt with the tail spend that everyone struggles with and should have been “turned on” immediately and effortlessly.

3. Develop a strong compliance message for your suppliers.

Require all suppliers to receive PO’s and submit invoices through the Ariba Network. With Light Enablement, the historical complaints about fees are simply invalid.

Companies who follow this recommendation experience quicker supplier enablement which in turn allows for increased visibility and control of your company’s spend.

Contract Management from Ariba for $30K?

When a company decides it has a need for a Contract Management software, the first step is generally to send out an RFI/RFP. A number of weeks and many pages of responses later, the field is generally narrowed to a couple of contenders. Then comes the demos… The team watches each vendor demonstrate their technology, usually with fairly little difference between them. Reporting, templates, clause libraries, redlining, and electronic signatures are usually the top things that everyone wants to see.

At the end of the day, since most of the top tools can all accomplish the same things, two factors typically make the decision. 1) The one that the team deems most “user friendly” and 2) price.

Once implementation is underway, the team starts to realize that they simply aren’t ready with templates and a clause library. Creating those from scratch takes a considerable amount of effort, particularly from an already overburdened legal team. They also realize that redlining might not work quite as easily as it was shown in the demo. These two items are then pushed off to a Phase II (which often never occurs) and the system is basically used as a repository.

The software vendors typically do not have different “levels” of their software at different price points. If you want a “repository only” solution, you would need choose a lower cost, less sophisticated software, effectively eliminating a progression path towards those features such as templates, clause libraries, and redlining that can be beneficial as your organization matures.

Non-profit to launch digital marketplace for simple, efficient administration of scholarships to low-income and special needs students
